Essential Duties and Responsibilities 

  • Set up of jobs including entry into Great Plains and Sharepoint as well as initiation of job folder documentation  
  • Entry of approved change orders into Great Plains  
  • Working with PM’s to ensure timely and accurate billing in order to minimize under billings  
  • Creating invoices in Great Plains and pay applications as well as sending the billings to the customer or uploading into appropriate portals  
  • Creation and submittal of Expense Reports  
  • Track and submit per diem and check requests for employees 
  • Label creation and printing for cabling and equipment installation.   
  • Project close out documentation – warranty letters, O&M’s and as-builts  
  • Prequals/Credit Applications  
  • Apply for city/state licenses when necessary  
  • Assist HR and corporate office with onboarding and orientation of new employees including I-9 paperwork and helping new hires access and set up their LINX accounts 
  • Reserve rooms for training classes 
  • Ordering food and lunches for meetings and trainings 
  • Coordination of on site orientations and GC screenings for new employees and 3rd party vendors   
  • Temp time entry and verification with corporate office in Denver 
  • Enter received dates for materials received on the BOM  
  • Verify, sign MVFs and send to appropriate parties  
  • Approve fuel invoices for job site  
  • Procore documentation (uploading documentation needed for GC), downloading and create job specific documents  
  • Order office supplies, fuel, ice, water for job site  
  • Type up correspondence, transfer of materials between vendors, etc.  
  • DCAT request/renewals/tracking expiration dates 
  • PPE inventory and ordering  
  • Data entry for project managers, as needed 
  • Create and submit project close-out documentation including warranty letters, O&M’s and as-builts 
  • Oversee the set-up, execution, billing and overall tracking and status of the project   
  • Coordinate internal and external kickoff meetings  
  • Request information and complete change order tracking  
  • Manage the project information flow  
  • Coordinate the project closeout and postmortem lessons learned from the project  
  • Support and coordinate project related travel including per diem 
  • Assist Project Managers with resource scheduling 
  • Coordinate project information flow between sales, engineering and operations  
  • Receive material deliveries into warehouse from distributers and delivery services  
  • Data input of materials received  
  • Data input of materials transferred to job sites from warehouse. 
  • Periodically inventory and order consumable materials for the warehouse 

Minimum Requirements 

  • Ability to work in the local office 5 days per week 
  • Minimum 2-year degree or equivalent work experience 
  • Excellent organization skills 
  • Excellent written and verbal communication skills 
  • Ability to analyze data, identify trends and make sound recommendations  
  • Proficient with Microsoft Office Suite, including Word, Excel and PowerPoint 
  • Professional working proficiency in English 

Preferred Experience 

  • 6 months work experience with Great Plains 
  • 6 months experience working in the construction industry 

Pay Rate:

$20.00 – $26.00/hour
